Guideline for Sponsorship
From time to time, the Association received sponsorships from the commercial sectors for overseas and local medical conference. The Association will accept sponsorships on the following conditions:
1. The sponsorship should be of educational value in medical practice and benefit patient care.
2. The sponsorship is not in conflict with the Association’s aims and directions.
3. The sponsoring organization does not have the right to nominate or influence the nomination of candidate. Once the result is announced by the Association, the sponsorship can’t be withdrawn by the sponsoring organization.
4. The successful candidate and the sponsoring organization will be informed by letter. On receiving the application for the sponsorship, the applicant has given consent to the HKODA to give the name to the sponsor once the candidate is selected.
5. The sponsoring organizations and the applicants shall observe the laws, regulations and guidelines that applicable (such as Anti-corruption Ordinance, policies and regulation issued by the HA/ government / universities or employers). The successful candidate who received the sponsorship shall apply to the HA/government/universities/ employer themselves accordingly.
6. It is the responsibility of the candidate and the sponsoring organization to check any potential conflict of interest. HKODA will not be responsible for any liability related to the sponsorship.
7. The sponsoring organization should provide details of the sponsorship and allow adequate time (at least 4 weeks before the date of conference) for processing.
8. The sponsoring organization shall pay the administrative fee (currently HK$500 per oversea sponsorship and HK$200 per local sponsorship) to the Association.
9. The Association reserves the right to refuse any sponsorship without giving any explanation.
10. The Council of the Association reserves the right for the final decision on every matters related to the sponsorship.
11. The following guiding principles or guideline issued by the Association from time to time will be applied in vetting the application from members.
The applicant shall be a paid up member of the Association at time of applying the sponsorship.
The Scoring system:
I) Sponsorship received in the past 3 years (max. 20 points)
Never receive sponsorship from HKODA within recent 36 months: 20 points
Last sponsorship through HKODA, from 24 months to 35 months: 10 points
Last sponsorship through HKODA, from 12 months to 23 months: 5 points
Last sponsorship through HKODA, from 0 months to 11 months: 0 points
II) Active contribution to the Association (max. 10 points)
e.g. Council members: 10 points
Ex-council members: 5 points
Others: 3 points
III) Contribution in the Conference (max. 20 points)
Relevant specialty /field of practice: 10 points
Active participation to the conference e.g. speaker: 10 points
In event of same score for two or more candidates, the Council reserve right of final decision.
Other condition:
a) Each member shall receive a maximum of two sponsorships from the Association in each of overseas and local sponsorship each year (from April to March next year).
b) The successful candidate may be asked to give a written report or present learning point from the conference in activities (for example the AGM) of the Association.
c) If the sponsorship is granted in form of educational grant, the successful candidate shall produce the original receipts for the reimbursement of their expenditure according to the type and ceiling of sponsorship announced within the financial year unless stated. Only the expenditures stated in the sponsorship will be reimbursement, other expenditures (for example, laundry service) will not be reimbursed.
d) Expenditure that exceeded the maximum amount of sponsorship shall be bear by the successful candidate.
e) The remaining fund from the sponsorship will be used for the activities of HKODA
